Committee Positions

Charter Organization Representative;

* Is a member of the Charter Organization, Sts. Peter and Paul;

responsible for Securing a Troop Committee Chair and encourages training;

* Maintains a close liaison with the troop committee chair;

* Helps recruit other adult leaders;

* Serves as a liaison between the troop and the Charter Organization;

* Has final Troop approval on all adult applications;

* Assist with Registration Coordinator with renewing the troop charter each year;

* Encourages service to the charter organization;

* Is an active and involved member of the Sycamore District Committee.

Troop Committee Chair;

* Organize the committee to see that all functions are delegated, coordinated and completed;

* Maintain a close relationship with the Charter Organization Representative and Scoutmaster;

* See that troop leaders and committee members have training opportunities;

* Work closely with the Scoutmaster in preparing troop committee agendas;

* Call, preside over and promote attendance at monthly troop committee meetings and any special committee meetings that may be called;

* Do a brief Committee overview for the parents at each Court of Honor.

* Arrange for charter review and renewing the charter annually.

Secretary;

* Keep minutes of troop committee meetings;

* Distribute committee meeting minutes to committee member prior to the next regular meeting;

* In conjucction with the troop Communication Officer, publish approved copies of the minutes on the troop website;

Treasurer;

* Handle all troop funds.

*Pay bills on recommendation of the Scoutmaster and the authorization of the committee;

* Maintain troop checking, savings and district accounts, including bank reconciliations and signature cards;

* Will coordinate the efforts of the various fund raising chairs;

* Supervise money-earning projects, including obtaining proper authorizations;

* Shall have primary responsibility for the tracking of scout payments for all high adventure activities. If a scout or scouter request payment from their account, the treasurer will report back to them on a timely basis if there is not sufficient funds to cover the payment;

* Maintains the Troops personal Scout and Scouter accounts providing balances on a quarterly basis and will not allow any scout account to go to a negative balance unless explicitly approved by the committee;

* Report to the Troop committee at each meeting basic financial information including information on Scout/Scouter accounts that have negative balances;

* Responsible for any required reporting to the Charter Organization on Troop finances, however, information shared with the Charter Organization should be reviewed by the Troop Committee first;

* Lead in the preparation of the annual budget;

Registration Coordinator;

* Recruit new members at registration drives;

* Conduct a chartering meeting with the Chairman, Scoutmaster and Advancement Chair;

* Fill out the charter renewal;

* Refer all new registration to the Scoutmaster for placement in a patrol;

* Conduct the troop resource survey for families of all new scouts;

* Maintain an active troop registration listing of scouts.

Advancement Chair;

* Encourage Scouts to advance in rank;

* Arrange and conduct Monthly troop boards of review;

* Conduct frequent Courts of Honor;

* Develop and Maintain a merit badge counselor list;

* Make a prompt report on the correct form to the council service center when a troop board of review is held. Secure badges and certificates;

* Consistently maintains all Scout advancement records in a timely manner;

* Provide the Life to Eagle Coordinator with updated list of all Life Scouts whenever a scout is promoted to Life;

* Work with the troop librarian to build and maintain a troop library of merit badge pamphlets;

Chief Communication Officer;

*Responsible for all communication from the troop to troop families and the outside community;

* Responsible for maintaining the Troop website which shall be the principle means of communication with troop members and their families;

* Will follow the "Advice for personal and unit Web sites" published by the BSA in regards to posting of personal information on the troop website;

* In conjunction with the troop Historian, will post pictures and historian notes from scout activities to the troop website

Summer Camp Coordinator;

Organizes the Troop's annual summer camp to include;

* Attending District Meetings for Summer Camp;

* Setting a budget and Fees for Summer Camp;

* Working with the Scoutmaster, secure a troop site for summer camp;

* Recruiting adult leadership for summer camp;

* Securing all necessary paperwork, including medical information as necessary;

* Organizing all logistics, such as drivers, equipment, etc.

* Arranging scouts daily schedules at camp to help the scout earn their merit badges;

* Handle all necessary follow-up;

* Coordinate with the Scoutmaster and Troop Committee on all procedures and policies;

Life to Eagle Coordinator

* Work with all Life Scouts and their families to understand what requirements remain to complete Eagle;

* Work with Life Scouts and Scoutmaster to help them choose an Eagle project and help the Life Scout prepare their presentation to the committee;

* Help the Life Scout with their completion of the Eagle Scout Project Book;

* With the Scoutmaster help the Life Scout complete their Eagle Scout Application;

* Help the new Eagle Scout and their families in the preparation of their Eagle Court of Honor;

Persons to fill these positions will be selected by the Chairman and approved by the Chartered Organizational Representative. There shall be no limit to the number of terms for any of these positions.

Committee Meetings. The Officers shall meet regularly to discuss Troop Business. Meetings shall be scheduled by the Troop Committee Chairman who will provide a written agenda at least 10 days in advance. The meetings shall be open to parents, and registered members of Troop 657
