Cedar Valley Middle School
Band Handbook

The purpose of this handbook is to serve as a guide and as a source of information for students and parents involved in the Cedar Valley Middle School Band Program.  Every band student is provided with a copy of the band handbook at the beginning of the school year and it is essential that it be shared with parents.  Information, policies, and expectations are addressed in this handbook.  If parents and students will take the time to read the following pages, the overall program will benefit through greater understanding and good parent, teacher and student relationships.

Introduction

Welcome to the Cedar Valley Middle School Band Program!  Band at Cedar Valley is an exciting experience for parents as well as students, and your involvement is essential and welcome.

Beginning in the sixth grade your student has the opportunity to participate in our band program, which we feel is beneficial in many ways.  Band students develop in areas of responsibility, self-discipline, social skills, confidence, leadership, and dependability.  Being in band will give students a sense of accomplishment and pride, and students will develop musical skills which will enrich their lives.  Band students have been carefully screened and should, with practice and effort, achieve success on their respective instrument.  The amount of practice and effort on the student’s part will directly reflect upon their degree of success.  Parental support and encouragement is so important.

In Beginning Band, the emphasis is on learning the fundamentals of music and the basic skills required to play an instrument.  Mastery of these fundamental skills will lead to further development of higher level skills which will enable students to progress smoothly through our band program.  Seventh and eighth grade beginners are admitted when class size and schedule will permit.

In Honors, Symphonic, and Concert Bands will continue to perfect skills while learning new and more challenging aspects of music and music performance.  There is a greater emphasis placed on the competition at this level for individuals as well as groups.  These bands are open to any sixth, seventh, or eighth grade band student by audition.  Instrumentation needs of the ensemble, the individual student’s attitude, conduct, playing ability, and existing openings in the ensemble will determine membership.  These bands represent Cedar Valley at various times and places throughout the year.

Band is a part of the school curriculum and meets daily as a scheduled class.  Beginning students will have 2 required rehearsals outside of the regular school hours.  These rehearsals will be held before a scheduled concert and will be from 3:45-4:45 pm.  Honor and Symphonic Band members will have a regularly scheduled required sectional outside of the school day one time per week and one extra rehearsal before U.I.L. Band Contest.  Sectionals will be held before school or after school and will be established within the first 2 weeks of the school year, will begin the first week of September and continue through the entire school year.

Student Behavior

Minor behavior violations and disciplinary problems will be handled by the teacher who observes the misbehavior.  The teacher may discuss the misbehavior with the parent, administrator, and/or support personnel.  If the problem persists, a more severe response will be necessary.  The parent will be contacted and a conference will be scheduled.  The Round Rock ISD Discipline Management Plan will be followed in all cases (see the Round Rock ISD Code of Conduct).

Materials and Supplies

Students who do not have the necessary materials for band class will be loaned the materials if possible.  If it is impossible to loan out the materials, an alternative classroom assignment will be made and the student will be expected to make up the work missed in class.  If a persistent problem occurs, the teacher will contact the parent for a conference

Materials needed for class include:   A list of essential supplies are listed on the band webpage.

*Lost music may be purchased if lost/misplaced at the rate of 15 cents per page.

Instrument Storage

Lockers are located in the band hall where students will leave their instrument during the school day.  Students are required to keep their instrument in their assigned locker and to keep the locker clean!  Locks will be provided by the band department and issued at the beginning of the school year, or when a student enrolls in band.  Combinations will be kept on file in the directors’ office.  If a student loses or damages a lock they must pay for its replacement.

Identification/Insurance

Every student must have his/her name fastened to the outside of their instrument case.  Percussionists are to have their name on all of their equipment, including sticks and mallets.  It is highly recommended that individual instruments be insured.  Parents may wish to check with their insurance agent about coverage under their homeowners or renters policy or about a musical instrument “floater” policy.

School-Owned Instruments

Students are responsible for the care and maintenance of school-owned instruments that they are using.  An instrument use agreement form must be completed and kept on file in the band office to protect the rights of the student and the Cedar Valley Band Program.  Once the instrument is checked out to a student, the instrument becomes their responsibility.  If the instrument is damaged while in the possession of the student, the student is responsible for the cost of repairs to put the instrument back into its original condition.  *Damaged school-owned instruments need to be brought to the immediate attention of the directors.

Practice Cards

Practice cards will be required of all students.  Please note that extra credit can be earned in this portion of the student’s band grade.  Students are encouraged to practice a total of 120 minutes per week.  Practice Cards will be due the last attendance day of the week, for every week during the school year.  Late practice cards will be accepted one day past the due date with an automatic deduction of 20 points.  After the late day, practice cards will not be accepted and a “zero” will be entered in the grade book.  Students who are absent will be permitted to turn in practice cards on their first day back on campus without incurring a penalty.

Band Placement

Sixth and seventh grade student will be placed into Honors or Symphonic Bands at the end of the current school year provided they have elected to be in band the following  year.  Listed below are the areas that are to be taken into consideration and reflect daily classroom behavior as well as progress/proficiency on the instrument.  This is the most accurate way to assess and place students into the appropriate band class.

 ·          Citizenship/Classroom behavior

·          Academic Eligibility

·          Class Participation

·          Attendance at Concerts and Sectionals

·          Practice Cards

·          Completion of assignments

·          Weekly Playing Grades

·          Master Schedule

Eligibility/Ineligibility

State law does not allow a student to participate in a U.I.L. district or region competition or any other “extra-curricular” activity unless all grades on the six-weeks report card are 70 or above. Students with a grade of 69 or lower in any class become ineligible and will maintain that status through the fourth week of the following six weeks grading period.  At the end of the third week, an ineligible student must be passing ALL CLASSES with a grade of 70 or higher to become eligible.  If, however, at the end of the third week following a grading period an ineligible student is failing ANY CLASS, they will remain ineligible for the remainder of the six weeks grading period.  If you have questions, please ask a band director for further clarification.

·          Students who are ineligible are still required/expected to perform at co-curricular events such as concerts where no admission is charged

Fundraising/Student Accounts

Although our band program receives monies through the school district and from Band Boosters, these funds must be supplemented to enable our band to function at a continuous standard of excellence.  Each year our bands participate in a fund raising activity.  Items to be sold are determined by the band directors.  Profits go towards equipment for the band hall, music, social events, music contests, travel, and awards.  *If you do not wish for your child to participate in the fund raiser, please inform us by sending a note or calling the band office.

Students who elect to participate in Band Sponsored Activities such as The MAIN EVENT, or SCHLITTERBAHN trip must have funding for these activities in what we call a “Student Account”. Students may fund their account by parent donation, or by purchasing HEB Gift Cards offered  by McNeil HS Band Boosters.

Contests

Students in Honor, Symphonic, and Concert Band may audition for the All-District and All-Region Bands and All-Region Orchestra.  Tryout music is given to all advanced band members.  Students who have achieved the level of musical skill necessary to perform this music are strongly encouraged to participate.  Our students compete with students from other schools in our region and are then ranked according to their performance.  The top-ranking students then attend a two-day clinic with a respected guest conductor/clinician.  This procedure culminates in a concert by the District/Region Band or Region Orchestra.

Students in Honors and Symphonic Bands are required to participate in the Round Rock ISD Band Solo and Ensemble Contest.  Students perform a solo, and if interested in a small group (ensemble).  A judge will then evaluate them on a scale of one to five, with one being superior.  A student may elect to perform their solo in class in lieu of participating in the Solo and Ensemble Contest.  The Honors and Symphonic Bands may participate in the U.I.L. Concert and Sightreading Contest which is held in the spring.  Instrumentation and students’ eligibility will determine participation.

Concert Performance-Attendance Is Required!

The Round Rock ISD School Board has determined that band is a performing art and that performances are an extension of class time.  Performance is our ultimate goal in band and it is essential that students be present at all performances.  An unexcused absence from any performance,  or any scheduled rehearsal, will severely affect the student’s grad.   The following policy will be used for performances and extra (scheduled) rehearsals:

§   An unexcused absence from a performance or a required rehearsal will result in a “zero” in the grade book.

§   Concert performances are given the same weight as a playing assignment grade (see section on grading).

§   The second unexcused absence may result in the removal of the student from the performing organization and will result in a demotion for students in Honors and Symphonic Bands.

§   Excessive absences from concert performances indicate a conflict with course requirements and the selection of a different elective would take place.

*IF A STUDENT MUST BE ABSENT FROM ANY REQUIRED BAND FUNCTION, A PARENT/GUARDIAN MUST INFORM A DIRECTOR BEFORE THE EVENT OCCURS IN ORDER FOR THE ABSENCE TO BE EXCUSED, UNLES IT IS AN EMERGENCY.  PLEASE PUT ALL BAND DATES ON YOUR CALENDAR SO THAT CONFLICTS CAN BE AVOIDED.

Concert Attire/Dress

The Honors, Symphonic and Concert Bands  will wear a “Formal-style” concert uniform for every band concert and contest.  The impression a formal concert uniform can leave on an audience (or a contest judge!) is always impressive.  Many middle school band programs require the students to purchase band t-shirts and wear this paired with blue jeans for performances.  At Cedar Valley Middle School, the band director and administration want the students’ appearance to match their outstanding musical abilities.  The band department will provide a purple bow tie and cummerbund.  Each student will provide and wear a white, long-sleeved shirt, black pants/skirt, and black shoes to complete the uniform.  Please do not wear white socks…black socks are preferred.  Students in Beginning Band  are requested to wear nice clothes.  We ask that you not wear clothing such as t-shirts, shorts, or worn looking jeans.  Please contact a band director if you have questions regarding this matter.
