Sign-up
Each swimmer family is expected to sign up for 4 – 6  slots this season. The 
number of slots will be determined after the first game when we can gage how 
much help is needed for the crowd.

Why do we do this?
This is the primary fundraiser for the Dragon swim team each year. Our team 
earns a percentage of the profits from the booth.  This money helps pay 
travel costs for the team and other expenses such as the year-end banquet 
and scholarships.  

Information about our Booth  -- W-8
We are in charge of one of the largest concession booths and we need up to  
34 people working at every game!  By having this many people we get chances 
for breaks and allow some people to come late or leave early.  

We need all swimmers and families to work at least 4 “slots”.  There will be 
up to  34 “slots” available for each game.  A “slot” can be filled by anyone 
14 years old or  older.  Your slots can be filled up all in one game or can 
be spread out to 2, 3 or 4 games! 

Remember, swimmers can sign up for slots and carpool – this is not just a 
parent thing!  This is a total team commitment and everyone will be expected 
to participate.  We do need enough parents each game to handle the money at 
the 8-10 windows and to manage the cooking and bookkeeping.

How do we know what time the games are? 
The game times are usually published/announced no later than the  Sunday 
prior 
to the game.  Early games – in August and September – are usually 7:30 p.m. 
kickoffs. Later games are usually 2:30 p.m. kickoffs.  BUT, it all depends 
on what the TV networks want.

How will I know what time to arrive at the concession stand? 
The Concession Stand Group Leaders arrive 5 – 6 hours prior to game time to 
wipe off counters, count inventory, heat up the ovens and warmers, and start 
cooking the food.

Four hours before game time workers arrive to set up the condiments, ice 
down the bottled water, and assist in food preparation.

Two and a half to three hours prior to game time workers arrive to finish 
with food and booth preparation.  Everyone goes over who is assigned to work 
where, safe food handling procedures will be reviewed, discounts tickets, 
and any other special instructions before opening the booth.

Two hours before game time the gates open and our windows are opened for 
sales!

Where do I park?

There is a public parking garage on MLK Blvd. behind the Erwin Center – 
there is a charge and it will fill up early. There are a number of state 
parking garages within walking distance. Also, anywhere you would usually 
park if you were coming to a football game or Erwin Center activity.  If you 
park in a restricted area, you could get towed.

How do I find the concession stand?
Access to Memorial Stadium in only permitted through Gate 25 at the north 
end of the stadium.  
You may be asked to present your drivers license for identification.  

You will be searched and purses will be searched.  After leaving the gate 
entrance, go right and stay on the ground level.  The booth is on the right 
across from the Pizza Hut booth.  We are booth W-8.  You will enter 
through the back door – up the ramp and then sign in and wash up!

What do I wear and what can I bring? 
Attire:  Clean, plain white t-shirt and dark shorts or pants.  Closed toe 
shoes such as tennis shoes.  No sandals, flip-flops, etc.

Everyone will wear a red apron and a red hat while the booth is open for 
business.  All long hair needs to be tied back and clothes and body must be 
clean (please shower before coming).  Any cuts or scrapes need to be 
bandaged.  

Please leave personal belongings at home or car.  We do not have a secured 
locked area for personal items.  NO BACKPACKS ALLOWED.  No exceptions – 
security will not allow you in the stadium.  

Can my younger children come and help?
All workers must be 14 years old or older.  It will be very crowded in the 
booth and you will be extremely busy so any young children will not be 
supervised and will not be allowed to stay.  

What if I need to arrive later or leave earlier?
We need workers to arrive as assigned so that we can be prepared to sell.  
If that is the only way that you can help, is by coming later, we’ll take 
you.  Usually we can let some workers leave after half-time.  The workers 
that arrived first get the option of leaving first!

How long after the game do I need to stay?
We are responsible for cleaning all equipment, sweeping and mopping the 
floor, and making a final inventory.  We usually start clean up after half 
time, so that most workers can leave by the end of the game.  The Group 
Leaders often stay up to 2 hours after the game is over finished up the 
inventory, checking out with the Sodexho supervisors, and turning in the 
money.

Will I be able to eat at the stand?
YES!  Hot dogs, sausage wraps, nachos, popcorn, and drinks for workers are 
free, within a reasonable limit.  Bottled Water must be purchased! Candy, 
peanuts, and ice cream bars must be purchased.  We must account for all food 
whether sold, eaten by workers, damaged, or left over.  If you do not wish 
to eat the food there, you may bring in your own food, or buy from other 
concession stands. However, eating is done in the back of the booth or 
outside the booth only.  

What if an emergency occurs the day of the game, and I cannot work?
Please call the Coordinator or a Group Leader.

Having about 34 people at the stand makes it run more smoothly and 
efficiently.  We get breaks, and some people get to leave early.  If you are 
not able to work your scheduled day you must find a replacement.  If this 
happens, please notify the concession stand scheduler and let them know 
someone else will be working for you.  

Should the swimmers volunteer?
YES, YES, and YES!!!  We are raising the money for their program.  This is 
not just a parent activity.  We encourage all parents to have their swimmers 
volunteers for at least 2 games.  Customers often enjoy seeing younger 
people working.
